Centralized Scheduling and Classroom Management

The process of scheduling and the management of general lecture classrooms has been adjusted to align with state space utilization requirements. Please consult the FAQs below to learn how this impacts you and where to turn for assistance.

• What is Centralized Scheduling?

      

  Centralized scheduling is Weber State’s new system for scheduling general lecture classrooms in all campus buildings.

• Who needs to know about centralized scheduling?

  All faculty, administrators, chairs and deans must be aware of how classroom scheduling happens and how they can be involved in classroom usage decisions. All general lecture classrooms are available to them, regardless of the building they are in. Scheduling will now be done through AdAstra software. The registrar’s office oversees scheduling and can help you find the space you need.

• Why has the scheduling system changed?

  USHE policy R751, Institutional Facilities Space Utilization, requires universities to centrally schedule academic classrooms to ensure efficient use of our teaching spaces. USHE sets minimum rates for classroom usage that Weber State is currently not meeting. USHE is requiring us to come into compliance with the policy before they will provide funds for new capital projects.

• Where do you schedule classrooms?

   

  Currently, the academic scheduling process varies widely across Ogden and Davis campuses. College and department admin have a primary role in the scheduling process, with support from the Academic Scheduling team in the Office of the Registrar.  

• How do you schedule rooms?

      

  As we transition to centralized scheduling, we will begin using Ad Astra scheduling software to support more centralized workflows. Faculty will still have the ability to provide information on when and where they prefer to teach, and chairs and deans will provide approvals via the app. After the scheduling deadline, the Academic Scheduling team will find classrooms for course sections that don’t have a home yet.

• What is centralized classroom management?

  General Lecture classrooms are now managed by Facilities Management rather than individual departments. The goal is for each of these rooms to be ready for any faculty to teach a class in and provide consistency in what to expect in these rooms.

• Who needs to know about centralized classroom management?

  All faculty, administrators, chairs and deans benefit by knowing how general lecture classrooms are managed and how to get help with a classroom.

• Why is Facilities Management managing classrooms now?

   

  In the past, each department or college has been responsible for the maintenance and upgrade of these rooms. Because of the new USHE policies that impact centralized scheduling, these responsibilities have been transferred to Facilities Management.

• What kind of help with a classroom is available?

• How do you request maintenance?

  Call the FM Front Desk at 801-626-6331 (ext. 6331). They will create a work order and notify the appropriate person for your request, whether it be an immediate need or something that can wait.
