Program Review

Semester Sequence of Program Review Activities

(Revised September 2011)

Program reviews take place over three academic semesters. The program review cycle is either fall-spring-fall or spring-fall-spring. All programs undergoing review should make every effort to adhere to the dated guidelines which follow. Exceptions to these guidelines will be made to coordinate program review with professional accreditation review and for good cause.

Year One – Semester One

Sept. 10

The Dean, in consultation with the Office of Academic Affairs, orients the Program Faculty to the purpose and format of the review, as well as their responsibilities for the review.

Oct. 1
The Program Faculty makes recommendations for membership of the Program Review Evaluation Team, through the department chair, to the Academic Dean following the guidelines stated elsewhere on this web site. At least two individuals must be recommended for each Review Team position; all potential and real conflicts of interest for each nominated individual must be identified.

Nov. 1

The Academic Dean finalizes the Review Team membership and notifies the Program Faculty of the approved membership.

The Academic Dean and Chair(s) confirm participation with each individual on the Program Review Evaluation Team and finalize on-campus visit logistics (travel, meeting times, rooms, etc).

The Academic Dean and Chair(s) forward to the Program Faculty the visit calendar and meeting schedule of the Program Review Evaluation Team.

The Program Faculty prepares the following documents and submits them to the Academic Dean for review and approval:

  • a 25-30 page program self-study ( exclusive of appendices) which follows a prescribed format
  • a 3-5 page executive summary which provides a brief description of the program, faculty, staff, students and support; student data provided by Institutional Research are included as an appendix to this document
  • all other relevant program review documents

The Academic Dean approves the self-study documents and notifies the Program Faculty of the status of these documents.

Year One – Semester Two

The Academic Dean and Chair (s) contact the approved Program Review Evaluation Team members to:

  • confirm the participation of each member
  • finalize site visit dates and travel arrangements, and
  • send self-study materials

The Academic Dean, in consultation with the Office of Academic Affairs, orients the Review Team members to their role and responsibilities with regard to their on-campus visit and their report of findings.

March 15

The Program Review Evaluation Team, prior to the campus visit, reviews all relevant materials, conducts the on-campus visit, and interviews key program individuals (faculty, current students, administrators (dean and chairs) and if time permits recent graduates, employers of graduates, members from advisory committees or other community organizations, etc) to verify the self-study. The Evaluation Team evaluates the program against self-study standards.

Program Review Evaluation Team Guidelines

The Program Review Evaluation Team prepares a 3-5 page narrative report, consistent with the self-study standards, addressing all self-study standards (A-G), which identifies the following:

  • program strengths-referencing Standard where appropriate
  • program challenges
  • areas where the program did not meet the standards and why-reference Standard
  • recommendations for change-suggested changes for meeting the standards
  • additional recommendations from the review team

This report is submitted to the Program Faculty, with a copy to the Academic Dean.

Program Response Report Guidelines

The Program Faculty submit the following documents to the Academic Dean:

  • 2-3 page written response of the Program Faculty to the Program Review Evaluation Team report with specific focus on the following:
    1. recommendations/commendations (repeat with each recommendation/commendation)
      1. program response to recommendation/commendation
        1. agree and rationale
        2. disagree and rationale
      2. action plan and timeline (if applicable
      3. assessment of action plan and evidence of results (report submitted to Dean)
    2. department/program plans beyond Program Review Evaluation Team recommendations
  • report of the Program Review Evaluation Team (NOTE: the Dean may already have this)
  • a 3-5 page executive summary of the self-study (NOTE: the Dean may already have this)

May 1

The Dean prepares a 1-2 page response to the Program Review Evaluation Team report and the Program Faculty response. The Dean’s response is forwarded to the Program Faculty.

Aug. 1

The Dean forwards to the Office of Academic Affairs the following documents:

  • executive summary of the self-study (3-5 pages)
  • Program Review Evaluation Team Report
  • Program Faculty response
  • Dean’s response

Year Two – Semester One

Sept. 30

Prior to the meeting of the Program Review Standing Committee, Committee members have read all the documents identified above. The Committee meeting includes:

  • a brief overview from the Program Faculty on the findings of each Program Review Evaluation Team report
  • questions from the Standing Committee members (NOTE: the Committee's role is NOT to second-guess the findings made by the evaluation teams, but to create a division-wide perspective on the results of the reviews and to assist in improving our academic programs.)
  • a recommendation that the Provost accepts, or accepts with modifications, the findings of each program review

Oct. 30

The Provost prepares an institutional response to each program review which identifies the need for any interim progress reports, as well as the anticipated date of the next review for this program.

The Provost forwards the institutional response to the Program Faculty and the Academic Dean.

The Provost submits a summary document to the WSU Board of Trustees which outlines the programs which have undergone program review this year and the institutional responses to each of these reviews.

The Provost submits a summary document to the Utah Board of Regents which outlines the WSU programs which have undergone program review this year and the institutional responses to each of these reviews.
